The role:
We’re looking for an organised, efficient and enthusiastic admin expert to handle all office management aspects, including office operations, documentation creation and management, communication with clients, partners and suppliers, and more.
Duties & Responsibilities:
• Overseeing general office operation
• Coordinating appointments and meetings and managing staff calendars and schedules
• Coordinating domestic and international travel, including flight, hotel and car rental reservations
• Purchasing office supplies and equipment and maintaining proper stock levels
• Maintaining the office and vehicle condition and arranging necessary repairs
• Liaising with facility management vendors, including cleaning catering and security services
• Planning in-house or off-site activities, like celebrations and conferences
• Organising office operations and procedures
• Partnering with HR to update and maintain office policies as required
• Managing the administering the business’s bank accounts
• Organising, filing and maintaining documentation
• Inputting, amending or deleting information and data as required to maintain the business system
• Creating presentations or performing basic graphic design work as required
• Acting as a personal assistant to the general manager
You:
We believe you are an educated, experienced, and skilled office manager, admin assistant or secretary who enjoys enabling management to be efficient through outstanding office management.
Requirements:
Education & Qualifications
• Bachelor’s degree preferred
• High school diploma essential
• English certification required if you are not a native speaker
• MS Office certification preferred
Work Experience
Proven experience as an Office Manager, Administrative Assistant or Secretary in Saudi Arabia
Skills & Knowledge
• Knowledge of office administrator responsibilities, systems and procedures
• Proficiency in MS Office
• Hands-on experience with office machines (e.g. fax, printers, scanners)
Competencies
• Excellent time management skills and ability to multi-task and prioritise work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills in English and Arabic
• Strong organizational and planning skills
• A creative mind with an ability to suggest improvements
