Be responsible for assisting in managing and handling the projects related documents by good keeping, filing, recording tracking, monitoring and reporting.
• Receiving and filing all the project related documents in a systematic manner
• Developing and maintaining a well-organized log of project related correspondences
between the company, external entities and internal departments which have interference
with projects in accordance to the company’s document control procedure
• Receiving the correspondences and transactions coming to the company in accordance to
approved procedures, and distribute them as per the instructions of the manager in his
unit
• Monitoring and tracking the distributed documents to various entities and record their
handling cycles as well as time elapsed for actions
• Utilizing the existing software adopted by the company for handling the document related
data by entering this data on daily basis
• Generating periodic reports to the corporate planning manager and other managers as
instructed, on the document status and actions to be taken on each document
alerts on overdue actions to concerned manager as per the procedure approved procedure
• Scanned and upload documents in Primavera Contract Management for reference & easy
retrieval
• Forwarding all sorts of reports to Consultant as per procedure
• To keep records and filing contract documents and subcontract documents
• Monitor and update services procurement log regularly
