â?¢ Philippine or Saudi national
â?¢ Must be located in Khobar with transferable Iqama.
â?¢ 4 years experience, preferable in ARAMCO or its contracts
â?¢ High diploma in Business Administration or Executive Secretary or other related major, BS is preferable
â?¢ High level experience is must in Computer skills with knowledge of MS Office mainly Excel, Power Point and Word.
â?¢ Professional business writing (letters, memos, e-mail etiquette, agenda, correspondence)
â?¢ Completes a variety of administrative tasks for the MANAGER including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans and compiling documents for travel-related meetings.
â?¢ Plans, coordinates and ensures the MANAGER’s schedule is followed and respected.
â?¢ Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the MANAGER’s office and senior management as well.
â?¢ Prepare and organize meeting, write its agenda, prepare presentations, takes minutes accurately and follow up actions after meeting.
â?¢ Works closely and effectively with the MANAGER to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
â?¢ Assists in coordinating the agenda of senior management team meetings to update MANAGER if required.
â?¢ Coordination of travel plans for upper management level.
â?¢ Maintain an adequate inventory for office supplies and stationaries.
â?¢ Maintain filing system and file all correspondences.
